Open Settings from the sidebar to manage the active workspace. Your role determines which settings you can change. For a specific task, use the guides below.Invite teammates

Creating a Workspace
You can create as many workspaces as you need — for example, one per product, client, or environment.How to create one
- Click your workspace name at the top of the sidebar to open the workspace menu.
- Choose Switch Workspace, then New Workspace.
- Enter a Workspace Name in the Create New Workspace dialog and confirm.
Regions
New workspaces are provisioned in North America (us-central-1). The region is shown, read-only, on the workspace settings page. Supaboard also operates Asia (ap-south-1) and Europe (eu-central-1) regions; if you need one of those, talk to your account manager before creating the workspace.
Region cannot be changed after a workspace is created.
Configuring Your Workspace
Navigate to Settings → Workspace.
Your workspace image is uploaded from a separate section on the same page.
Requiring two-factor authentication
Require two-factor authentication — “Require members to enable MFA to access this workspace.” Turning this on is itself protected: you are asked for a 6-digit code from your authenticator app to confirm the change. Once on, every member must set up MFA before they can access the workspace. Members below Admin see the setting as a read-only line: “Mfa has been enabled by your system admin/owner”.Permissions required

Role
Controls what actions they can take across the workspace — see Roles and permissions. Options are Viewer, Editor, and Admin.Editors and Admins consume a billable seat; Viewers are free. The invite form shows the cost per row before you send — see Seats and billing.
Which features they can use
Restrict which parts of Supaboard they can use. Leave it on All features for unrestricted access within their role. See Feature Access for how this interacts with roles.
The picker shows All features when nothing is restricted, or N features when it is.
Resource access
Optionally limit which data source connections the user can query. All resources (default), or pick specific ones.Validation rules
- Work email addresses only. Personal domains (Gmail, Hotmail, and similar) are rejected with “Use a work email.”
- Duplicate emails within a batch are flagged before sending.
- People who are already members are detected and skipped.
Managing Team Members
The team members table (Settings → Team Members) lists everyone in the workspace.Filtering and sorting
- Search by name or email
- Sort by username or role, ascending or descending
- Members are grouped by status: Active, Invited, Deactivated
Available actions per member
Changing a role
Only the Owner can change roles, and you cannot change your own or the Owner’s. Promoting a Viewer to Editor or Admin makes them billable. Before the change is applied you see a confirmation:You are about to upgradeConfirming charges your saved payment method for the prorated remainder of the current cycle, with a Processing payment step while it completes. Demoting someone back to Viewer does not charge.{name}from viewer to editor.{name}becomes billable and you will be charged for the same.
Transferring ownership
Ownership can be handed to any current Admin. A confirmation is required. After the transfer, the previous owner becomes an Admin.Removing a member
Removed members lose all access immediately. Their contributions — dashboards, queries, automations — remain. You cannot remove the workspace owner or yourself.Roles and Permissions
A workspace role sets the kinds of actions a member can take. Feature access, resource access, and individual item sharing also apply.
Being an Admin or Editor does not make you the owner of every dashboard, project, chat, or query. Use the item’s Share dialog to check its access level. Item owners manage actions such as sharing or deletion where required.
Role assignment rules
- Only the Owner can change member roles
- You cannot change your own role
- You cannot change the Owner’s role
Feature Access
Feature access is a per-user toggle that sits on top of the role system. Even an Editor can be blocked from specific features. The feature flags are listed under Which features they can use above, and they can be changed afterwards from the Team Members table.Only the Owner can modify a user’s feature access.Restrict individual features when, for example, you want someone to view dashboards but not chat with an agent or browse raw data. Feature access does not replace an item’s sharing settings. A shared chat also needs Can chat access for follow-up questions.
Resource Access
Resource access limits which data source connections a user is allowed to query. This is independent of their role.- All resources (default) — the user can query any connected data source
- Specific resources — only the sources explicitly listed
Only the Owner can modify a user’s resource access.
Workspace Invites
When another workspace owner invites you, the invitation appears in the settings sidebar under Profile Settings, below your profile entry.- The name of the workspace you’ve been invited to

Usage Analytics
Open Settings → Usage. The Usage tab shows activity; Limits shows plan allowance and extra credits. See Usage and billing for a walkthrough.Top-level KPIs

Platform usage per user lists activity by teammate. Prompt history and CSV export require the corresponding permission; they are not available to every member.Plan allowance and extra credits
Use Limits to check the percentage plan allowance and reset time. The current screen labels its bar as % used. Extra credits, when shown, use a dollar balance and display their expiry information. These are separate displays.Seats and Billing
Settings → Plans and Billings manages your workspace subscription.Seat-based pricing
The current plan card shows your subscription, billable seats, and renewal details. Read the amount displayed for your workspace before making a change.What a role change costs
Inviting or promoting a member may add a billable seat. Review the amount and timing shown in the invitation or role-change confirmation. Team access explains how to choose the role and access settings.Trials
If your workspace is on a trial, its plan card shows the remaining time and upgrade options.Billing management
From Plans and Billings you can:- View billing email and legal organisation name — the details used on invoices
- See the next payment amount and date
- Update payment method — change the card on file (last 4 digits shown)
- Manage billing address — the legal address used on invoices
- View and download invoices — full history with a PDF per invoice
- Cancel subscription — a confirmation shows the cancellation date; access continues to the end of the billing period
- Upgrade — jump to plan selection and generate a payment link
Billing is managed at the workspace level, not per user. Only the Owner can access billing settings.
Switching Workspaces
If you belong to multiple workspaces, click your workspace name in the sidebar → Switch Workspace, then pick one. Switching is not an in-place update. Supaboard clears its local caches and reloads the application on the new workspace, landing you on Home with the Analyst.If you have background tasks running — a generating dashboard, a running automation — you are warned first: “You have tasks running in the background. Changing Workspace will terminate them. Do you want to continue?” Let long-running work finish before you switch.
Programmatic API Keys
Supaboard issues API keys for authenticating programmatic access.There is no Settings screen for API keys yet. They are created and revoked through the Supaboard API. Save the key when it is issued — it cannot be retrieved again.
The Command Palette
Press ⌘K (macOS) or Ctrl+K (Windows/Linux) anywhere in Supaboard to open the command palette. Use All chats to search conversations or the search field in a library to find its items.- Type to search across dashboards, conversations, queries, data sources, and agents
- Filter with the chip: All · Recents · Create New · Settings
- Results are grouped into Recents, New, Settings, and Results
- Navigate with the arrow keys, open with Enter, dismiss with Escape

Pending invitations from other workspaces appear under the Profile Settings heading, not under Workspace Settings.
